What Phone System Questions Do Customers Have?

by John Ciarlone on January 23, 2013

small business phone systems There are a lot of phone system questions we commonly hear as a major enterprise telephony provider, and many of them are probably the same for all phone systems contractors.  Businesses are interested in modern telephone upgrades, especially Voice over IP (VoIP) systems, but they're understandably a bit hesitant to commit before their fears can be put to rest.

So, let's take a look at the phone system questions we most commonly hear.  Whether you're a business looking to answer questions about upgrading your telecommunications, or a contractor looking for answers to give, hopefully we'll provide some answers!

•  What is the easiest system to use?

Generally speaking, when talking about using a VoIP service, a hosted provider is by far the easiest option.  Through a recurring service contract, your hosted VoIP provider will act much like your landline phone service, as your single point of contact for technical issues or service changes.

This allows you to get a modern, efficient combined telephony package without requiring large investments in complex technology and/or the technical expertise required to run the system.

In terms of individual hardware, the ADTRAN NetVanta 7100 system can be used by virtually anyone, with no fuss or hassle.  Everything is controlled through a single software console, and individual access points are self-configuring.  It's plug-and-play, while still giving you robust access and security controls.

•  What is the least expensive system?

This is an extremely difficult question to answer because it really depends on what you or your client requires.  Anyone can buy a cheap system that doesn't fit their needs.  Finding the least-expensive telecommunications system is a personal matter.

Otherwise, from a big-picture standpoint, whether a hosted VoIP provider or an on-site PBX system is cheaper depends on how you're looking at it.  A hosted provider generally requires far less in up-front costs, but as the years roll on its TCO will continue to increase due to monthly charges.  An on-site PBX system, giving you direct control of your office communications, costs more up-front but will eventually provide a lower TCO when viewed over several years.

•  Do I need to re-wire my office for a new system?

Depending on what you want and need, the answer is very likely NO! Many modern Voice over IP systems can be installed on top of your existing infrastructure with few, if any, major changes being needed.  At most, you might need to contact your Internet provider about expanding your bandwidth, to accommodate your new voice systems.

Additionally, many of our modern telephony systems are specifically designed to be able to integrate copper-wire, cellular, and VoIP communications into a single system.

So, in general it is entirely  possible to upgrade your phone system without the need for extensive rewiring, although should you need more physical lines it may still be necessary.

•  Can you install a phone system yourself?

In theory, yes.  If you're using a simple system, like ADTRAN's offerings, or not making major changes, it is entirely possible for technically-minded people to upgrade their phone systems themselves.  If you're looking at an on-site PBX solution, you may even be able to simply hire the talent necessary to run it and have them install it for you.

That said, we still thoroughly recommend you consult with a telephony specialist, especially if you're looking at your options and beginning to feel a bit overwhelmed.  DIY projects go awry far too often, so unless you aresure you know what you're doing, you may end up costing your company more in the long run than if you just hired help to begin with.

Your phone system is the backbone of your company, so be cautious when engaging in any amateur chiropracty.
